At SherpaHolidays (SherpaHolidays LLC), we treat your personal information with the same care we give your trip. This policy explains exactly what we collect, why we collect it, and how it's protected. It applies to sherpaholidays.com, our checkout and our trip planning.

Information We Collect

When you book or send us an inquiry, we collect the information we need to plan your journey:

  • Name and contact details
  • Travel preferences and requirements
  • Payment information
  • Passport details when required for permits
  • Information about how you use our website, such as the pages you view and the ad or link that brought you here, collected automatically through cookies

We collect relevant passport, emergency-contact, health, dietary and mobility information where needed to arrange your journey.

We collect only what we need to plan, run and improve your trip.

When you sign up for our monthly Nepal trip-planning emails, you give us your email address. We confirm your sign-up by email first. Shopify (Shopify Messaging) stores your address and sends the emails for us. We use the address you provide for this list only for these emails. You can unsubscribe using the link in every email or by replying. We never sell your email address or give it to other companies to send you their marketing emails.

Inquiry or booking acceptance is not newsletter consent. Permission to use your identifiable image or testimonial in marketing is separate and optional, not a condition of your trip.

We keep your optional answer about how you first heard about SherpaHolidays. When permitted by your privacy choices, we also keep the first and latest website sources we observe, campaign information and ad click identifiers. We link this information to your inquiries and bookings to understand what brings travelers to SherpaHolidays. You can skip the source question or ask us to correct your answer.

How We Use Your Information

Your information helps us plan your journey and stay in touch throughout it. We use it to:

  • Answer your inquiry and process bookings and payments
  • Coordinate travel logistics and permits
  • Send important updates about your trip
  • Understand how visitors use our website and measure how well our advertising works
  • Improve our services based on your feedback

We do not sell your personal information for money.

When We Share Information

We share necessary information with the operators, service providers and authorities involved in your arrangements, including in the countries you visit.

We share information only as needed to run our business and deliver your trip:

  • Travel partners, such as local guides, accommodation providers and permit authorities, to deliver your experience
  • Service providers that run our website, bookings and payments, such as Shopify, our booking and customer management software, and payment processors
  • Google, for website analytics (Google Analytics) and to measure and show our ads (Google Ads)
  • Meta, when we advertise on Facebook and Instagram, to measure and show those ads

When you send an inquiry, a scrambled (hashed) copy of your email address may be shared with Google to measure whether one of our ads led to it. Under some US state privacy laws, using data this way for advertising can count as "sharing". You can opt out at any time on our Your Privacy Choices page.

Facebook and Instagram Ads

When we advertise on Facebook and Instagram, we use Meta's pixel and Conversions API, connected through Shopify, to learn whether an ad led to a visit, an inquiry or a booking, and to show our ads to people who have visited our site. Meta may receive the pages you view on our site and a scrambled (hashed) copy of your email address and phone number, never the text of your message. This can also count as "sharing" under some US state privacy laws, and you can opt out at any time on our Your Privacy Choices page.

Cookies

We and our partners use cookies and similar technologies to keep the site working, remember your preferences, understand how the site is used (Google Analytics), and measure and personalize ads (Google Ads, and Meta when we advertise on Facebook and Instagram), including showing our ads to people who have visited our site before. You can control cookies in your browser settings, turn off personalized Google ads at adssettings.google.com, install the Google Analytics opt-out browser add-on, and manage the ads Meta shows you in your Facebook or Instagram ad settings.

Data Protection

We use technical and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure.

Your Rights

You can request access to, correction of, or deletion of your personal information at any time. Reach us at info@sherpaholidays.com, and we'll respond promptly.

Third-Party Services

Payments and bookings are processed through trusted partners such as Shopify and our payment providers. Website analytics and advertising measurement are provided by Google, and by Meta when we advertise on Facebook and Instagram.
