TERMS OF SERVICE

Written plainly. Designed to protect both of us..

About SherpaHolidays

SherpaHolidays is a family-owned Nepal travel company, operated by licensed Sherpa guides with deep roots in the Himalayan region. Every journey we offer is privately guided, personally managed, and built around the specific guest, not a template. These terms govern all bookings made through our website and with our team directly.

Bookings & Payments

A deposit or full payment is required to confirm your journey. Your payment locks in your permits, guides, accommodation, and logistics, all of which are arranged in advance on your behalf. We will confirm your exact payment schedule in writing before you book.

All prices are listed in USD unless otherwise noted.

California Seller of Travel & Consumer Protection Disclosure

SherpaHolidays is registered as a California Seller of Travel.

CST Number: 2169657-50

California law requires certain sellers of travel to have a trust account or bond. This business has a bond issued by SuretyBonds.com in the amount of $10,000.

This bond is maintained for the protection of consumers who purchase travel services from SherpaHolidays. SherpaHolidays participates in the California Travel Consumer Restitution Fund (TCRF). Eligible passengers may file a claim with the TCRF if they suffer certain financial losses due to the seller of travel’s failure to provide travel services. A claim must be submitted within the time limits prescribed by law. Claim forms and additional information may be obtained from the California Attorney General’s Office at https://oag.ca.gov/travel

If you are located outside the State of California, this transaction may not be covered by the Travel Consumer Restitution Fund.

Cancellations & Refund Policy

We know that plans sometimes change. Here's exactly how cancellations work clearly, with no surprises.

Cancellations 30+ Days Before Departure

If you cancel 30 or more days before your departure date, you may be eligible for a partial refund. Deposits and all third-party costs we have already committed on your behalf, including trekking permits, domestic flights, and accommodation prepayments, are non-refundable as these cannot be recovered from our providers. Any eligible refund will be processed within 14 business days of your written cancellation.

Cancellations Within 30 Days of Departure

Cancellations within 30 days of departure are non-refundable. By this stage, your guides have been assigned, accommodation has been confirmed, permits are in hand, and logistics are locked in. These commitments cannot be unwound on short notice, which is why we strongly recommend travel insurance that covers cancellation.

Important Considerations

Travel insurance is required for all journeys. This is not negotiable. The mountains are unpredictable, and insurance protects you in ways we cannot. In genuine emergencies such as serious medical events or natural disasters, we will review cancellation requests on a case-by-case basis with appropriate documentation. If you have any questions about your specific situation, contact us directly before you book, not after.

Trip Changes & Flexibility

In the Mountains, Conditions Change. Here's How We Handle It.

Mountain conditions are genuinely unpredictable. We've been working in them for decades, and we still get surprised. When weather, safety, or unforeseen circumstances require a route change, accommodation swap, or itinerary adjustment, we make that call based on experience, not
preference.

We reserve the right to modify routes, accommodations, or activities when safety requires it. Our guides will always work to find the best available alternative and will communicate any changes to you directly and promptly.

You will always know the reason for any change, and we will always do our best to preserve the quality and intention of your original journey.

Traveler Responsibilities

  • Valid travel documents
  • Required insurance coverage
  • Physical readiness for trekking
  • Following guide instructions and safety protocols
  • Respect for local customs

Health & Safety

All mountain travel carries inherent risk. Altitude, weather, terrain, and physical exertion are factors that no operator can fully control. By booking a journey with SherpaHolidays, you acknowledge these risks and accept personal responsibility for your physical readiness and safety decisions on the trail.

We strongly recommend a medical consultation before any high-altitude journey, particularly for guests who have not trekked above 3,500 meters before. You are responsible for securing appropriate travel insurance, any required vaccinations, and ensuring your physical fitness matches the demands of your chosen journey. If you are unsure whether a specific journey is right for your fitness level, ask us, and we will give you an honest answer.

Liability Disclaimer

SherpaHolidays is not liable for delays, cancellations, injuries, or losses caused by airlines, natural events, or third-party service providers beyond our direct control. Travel insurance is required for all bookings and is the primary protection against these circumstances. All participation in mountain travel and expedition activities is at the traveler's own risk.

Intellectual Property

All content on this website, including but not limited to branding, photography, itineraries, and written materials, is the exclusive property of SherpaHolidays. Unauthorized reproduction, distribution, or use of any materials without express written permission is strictly prohibited.

SMS Communications

By providing your mobile number at checkout, you consent to receive transactional text messages from SherpaHolidays LLC related to your booking, including confirmations, itinerary updates, and travel reminders. Consent to receive SMS messages is not a condition of purchase.
